Privacy Policy

This page explains what personal data Ice Cream Pro Directory collects, why, who else sees it, and what you can do about it. It describes how the site actually works rather than covering every situation in the abstract.

Who is responsible

Ice Cream Pro Directory (icecream-pro.com) operates this site and decides how the data described below is used. For any question about your data, or to exercise any of the rights listed further down, write to privacy@icecream-pro.com.

What we collect, and why

Simply visiting the site

We set one cookie, PHPSESSID. It keeps you logged in while you move between pages and is deleted when you close your browser. It is strictly necessary for the site to work and is not used to profile you.

When a listing page is viewed we record the view so the business can see how much interest it is getting. Your IP address is passed through a one-way hash before it is stored, so the stored record cannot be traced back to you. We keep no raw IP address for this.

If you land on a page that does not exist, we log the broken address, the referring page, your browser's user-agent string and your IP address, so we can find and fix broken links. This is the one place where a raw IP is kept for ordinary browsing.

We run no analytics, advertising or tracking scripts of any kind. There is no Google Analytics, no advertising pixel and no cross-site tracking on this site.

Subscribing to the newsletter

We store your email address, the fact that you ticked the consent box, the part of the site you subscribed from, your IP address and the date. The IP and timestamp exist so we can show, if challenged, that the subscription was genuine. Every email we send includes a way to unsubscribe, and you can ask us to delete your address at any time.

Contacting us

Messages sent through the contact form or the support panel are stored with your name, email address, the topic and the message itself, so we can reply and keep track of the conversation.

Listing a business

To run a listing you create an account: we store your name, email address and a hashed version of your password. We never store the password itself. The listing content you enter — company name, description, contact details, photos, logo, opening hours, social links and video links — is published publicly. That is the purpose of a directory, so treat everything you put in a listing as public.

If you claim an existing listing, we keep the name, email, phone number and message you submitted with the claim while we verify it.

Reviews

If you leave a review we store the name you give, your rating and your comment. Approved reviews are shown publicly with that name.

Paid plans

Payments are handled by Stripe. Card details are entered on Stripe's systems and never reach our servers. We receive and store a Stripe customer reference, the email used for billing, the amount, the currency and whether the payment succeeded, so we can manage your plan and our accounts.

Who else sees your data

We do not sell personal data and we do not share it for anyone else's marketing. A small number of providers process data so the site can function:

  • FastComet — hosting. Everything stored by the site sits on their servers, in the EU.
  • Stripe — payment processing for paid plans.
  • Google Maps — listing pages with a location can show a map. The map is not loaded automatically. It appears as a placeholder with a button, and nothing is requested from Google unless you press it. If you do, Google receives your IP address and may set its own cookies.
  • YouTube and other video providers — some listings include a promotional video. These are also click-to-load: no request reaches the provider until you press play. YouTube embeds use the no-cookie host.

We no longer load fonts, stylesheets or scripts from any content delivery network. Everything the site needs to display is served from our own domain, so no third party sees your IP address during ordinary browsing.

We may also disclose data where the law requires it.

Legal grounds

  • Consent for the newsletter. You can withdraw it at any time, and doing so does not affect anything sent before.
  • Performance of a contract for accounts, listings and paid plans. The contract is our Terms & Conditions, which you accept when you create an account. We record the date, IP address and version of the terms accepted, so both sides can show what was agreed.
  • Legitimate interests for keeping the site secure and working, counting listing views in a way that does not identify anyone, and fixing broken links.
  • Legal obligation for keeping records of payments.

How long we keep it

These limits are enforced automatically by a weekly job, not just described here.

  • Account and listing data — kept while the listing is active. Deleting your listing removes the profile, photos, videos, reviews and statistics tied to it.
  • Broken-link logs — the IP address and browser string are erased 30 days after the last hit. The address itself and the hit count stay, since that is what lets us fix the link.
  • Contact messages — deleted 24 months after the conversation is closed.
  • Claim requests — deleted 12 months after the claim is decided.
  • Listing view records — after 24 months the individual records are replaced by a monthly total per listing. The business keeps its statistics; we stop holding a row per visit.
  • Newsletter — kept until you unsubscribe. Twenty-four months after that, your address is replaced by a one-way hash: enough to prove we honoured the removal, not enough to contact you.
  • Data requests — the handling record is deleted 24 months after the request is closed.
  • Payment records — kept for as long as Portuguese accounting law requires, currently ten years. These we cannot delete on request.

Your rights

If you are in the EU or UK you can ask us to give you a copy of your data, correct it, delete it, hand it over in a portable format, restrict how we use it, or object to a use based on legitimate interests. You can withdraw consent for the newsletter whenever you want.

The quickest way is the data request page, which logs your request with a deadline so it cannot quietly go unanswered. You can also write to privacy@icecream-pro.com. Either way we respond within one month, free of charge. If you are not satisfied, you can complain to your national data protection authority. In Portugal that is the Comissão Nacional de Proteção de Dados (CNPD).

California residents

We do not sell or share personal information as those terms are defined under the California Consumer Privacy Act, as amended by the CPRA. We run no advertising technology and no cross-context behavioural advertising, so there is nothing to opt out of.

The rights described above are available to you as well: to know what we collect, to get a copy, to correct it, and to have it deleted. Use the data request page or email us. We will not treat you differently for exercising them.

Cookies

We set one strictly necessary session cookie and no tracking cookies, which is why there is no consent banner. The Cookie Policy sets out exactly what is stored and why.

Security

The site is served over HTTPS, passwords are stored hashed, and access to the administration area is restricted. No system is perfectly secure, but we take reasonable measures to protect what we hold.

Children

This is a business-to-business directory and is not aimed at children. We do not knowingly collect data from anyone under 16.

Changes

If we change this policy we will update the date at the top of this page.
